  • Summary

    The Administrative Assistant provides administrative support to ensure efficient operation of the office.  Supports managers and employees through a variety of tasks related to organization and communication.  In this role there may be exposure to time sensitive and confidential materials which must be handled with tact, diplomacy and confidentiality.  To be successful in this position, the Administrative Assistant will demonstrate the ability to communicate effectively via email, telephone and verbally and have a keen awareness to details and accuracy. 



    • Answer and direct incoming calls for office, department and/or manager.
    • Efficiently reply and respond to email, telephone and face-to-face inquiries.
    • Handle sensitive information in a confidential manger.
    • Maintain and/or create and implement an organizational system for recordkeeping, data collection, reporting and reports.
    • Carry out administrative duties such as typing correspondence, copying, filing, sourcing, scanning, etc.
    • Manage office calendar for time off, events, meetings, holidays, appointments, travel, etc.
    • Office supplies and equipment: call for repairs, order and stock supplies.
    • Coordinate office communications at the direction of management.
    • Serve as the liaison for guests and visitors, arrange temporary office space, tour of office and essential information (kitchen, restroom, parking, dining).


    Office Development Responsibilities

    • Continuous improvement in office skills by remaining current in use of office related technologies to include software and software updates.
    • Work in tandem with the Project Manager to promote a positive and productive working environment.
    • Partner with  Support Teams (HR, IT, Accounting) to perform responsibilities that are in line with company policies and strategic goals.



    • Degree preferred or combination of education and experience.  
    • Minimum of three years preferred in the role of administrative assistant.
    • Proficient in Microsoft Office Software including Outlook, Word and Excel.
    • Must be able to manage and update calendars, set up appointments and send calendar invitations.
    • Able to create and use spreadsheets including multiple worksheets at an intermediate level.
    • Must possess strong organizational skills and be detail oriented, and demonstrable trust and confidentiality.
